Privacy Policy

BigWow (“we,” “us,” or “our”) provides a collaborative meeting platform with AI facilitation. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Who this applies to

This policy applies to people who create a BigWow account, host sessions, join sessions as a guest, or visit our marketing website.

Guests can join sessions with a meeting code and display name without creating an account. Account holders can host sessions, manage billing, and access session history according to their plan.

Information we collect

Account information: When you register, we collect your email address, name, and authentication credentials (or OAuth identity if you sign in with Google).

Guest participation: If you join as a guest, we collect the display name you provide and session participation data needed to run the meeting.

Session content: During sessions we process collaborative content you and other participants create or share, which may include discussion text, votes, brainstorms, documents, spreadsheets, flowcharts, transcripts, and AI-generated summaries or suggestions.

Usage and billing data: For paid plans we process subscription and payment information through our payment provider. We also collect usage data such as session counts and plan limits.

Technical data: We collect standard log and device information such as IP address, browser type, and timestamps to operate, secure, and improve the service.

How we use information

We use your information to provide and operate BigWow, including real-time collaboration, AI facilitation, session hosting and joining, billing, customer support, and product improvement.

We use session content to generate in-session features (such as decisions, action items, and recap artifacts) and, where enabled, to produce shareable outputs after a session ends.

We may send service-related communications such as account notices, billing receipts, and important product updates.

AI processing

BigWow's AI facilitation analyzes session activity to suggest actions, summarize discussion, and assist with facilitation. AI processing is performed to deliver product functionality you use during a session.

We do not use your session content to train public foundation models unless we separately inform you and, where required, obtain your consent.

How we share information

With session participants: Content you contribute in a session is visible to other participants in that session according to the product’s collaboration model.

With service providers: We use trusted vendors to help us operate BigWow, such as cloud hosting, authentication, payment processing (Stripe), and analytics. These providers process data on our behalf under contractual obligations.

For legal reasons: We may disclose information if required by law, legal process, or to protect the rights, safety, and security of BigWow, our users, or others.

Business transfers: If we are involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction.

Data retention

We retain account information for as long as your account is active and as needed to provide the service.

Session data retention depends on your plan. Free accounts currently retain session data for up to 90 days. Paid plans may retain data for longer periods (currently up to one year), subject to change as described in our pricing and plan terms.

You may request deletion of your account or certain data by contacting us. Some information may be retained where required for legal, security, or billing purposes.

Cookies and local storage

We use cookies and browser local storage to keep you signed in, remember session join state, and support core product functionality.

You can control cookies through your browser settings, but disabling them may limit your ability to use BigWow.

Your choices and rights

You can access and update account information from your profile.

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, or to object to or restrict certain processing. Contact us to make a request.

Guests who joined without an account can contact us to ask about data associated with a specific session if they have enough information for us to verify the request.

Security

We use administrative, technical, and organizational measures designed to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

BigWow is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children.

International users

If you access BigWow from outside the country where our servers or service providers operate, your information may be processed in other countries with different data protection laws.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated through the product or by email where appropriate.
